Procedures for Dissertation and Thesis Defenses

1) Procedures for REQUESTING THE COMPOSITION OF THE EXAMINING COMMITTEE for Dissertation/Thesis Defense

1.1) Via the ProPGWeb System

The request for the composition of the dissertation/thesis examining committee must be initiated by the student through the ProPGWeb system at least 30 days before the planned defense date, following the video tutorials below:

a) Tutorial for the student – request for dissertation/thesis defense in ProPGWeb

b) Tutorial for the advisor – request for dissertation/thesis defense in ProPGWeb

c) Tutorial for examining committee members – dissertation/thesis defense in ProPGWeb

d) Available presentation modalities:

  • In-person

  • In-person with remote presentation (when at least one committee member participates online; the Google Meet link must be included).
    Fully remote defenses are no longer permitted.

Note: Please remember to contact the PPGFt Office to book a room before starting the defense request in ProPGWeb.

e) REQUIRED DOCUMENTS FOR THE REQUEST (must be uploaded to ProPGWeb):

  • Original Dissertation or Original Thesis (PDF).

  • Proof(s) of submission of scientific article(s) (PDF) (see Administrative Act CPG/PPGFt No. 5/2026 for detailed information on journal classification).

f) Attention: 

Before submitting the request for the advisor’s approval, check the information in your academic transcript and in the verification form for diploma printing.
If any information is incorrect, save the request as a draft and send an email to the PPGFt indicating the data that need correction. If you are a scholarship holder, check whether the final date of your scholarship funding period has been included in your academic record (request the inclusion of this information before submitting the defense request).

Note: Send the video “Tutorial for Committee Members – Dissertation/Thesis Defense in ProPGWeb” from item c to all committee members.

g) Templates for Dissertation and Thesis Writing:
PPGFt dissertations and theses may be written in two formats:
(i) Conventional Format; or
(ii) Compilation of Full Papers Published, Accepted, or to Be Submitted for Publication.

Regarding the Compilation of Full Papers Published, Accepted, or to Be Submitted for Publication format, follow:

  • Joint Resolution CO/SIBI/COPG No. 1, dated 11/07/2025 (.pdf xx kB); and
  • Guidelines for submission of theses and dissertations in full paper format of PPGFt (.pdf xx kB).

Please note:

h) Post-defense:

  • Proceed with the CORRECTION OF THE DISSERTATION/THESIS according to the suggestions of the Examining Committee, when applicable. Be sure to check the deadlines for submitting the corrected file in Administrative Act CPG/PPGFt No. 5/2026.
  • Upload the final version of the dissertation/thesis to the ProPGWeb system so that it can be approved by the advisor and subsequently submitted to the PPGFt Graduate Committee (CPG) meeting agenda.
  • After the result is approved by CPG/PPGFt, the student must complete the self-deposit of the dissertation/thesis in the UFSCar Institutional Repository (RI), following the step-by-step instructions in the document “Self-Deposit Manual for Dissertations/Theses 2025” (.pdf 490.3 kB). Access may also be made through the external link “Instructions for Authors – RI-UFSCar Self-Deposit Manuals”, which contains all UFSCar self-deposit manuals. Access to RI-UFSCar is made using the UFSCar number (login) and password, also used for other University systems such as SAGUI and ProPGWeb. The UFSCar number can be consulted at http://www.sin.ufscar.br/numero-ufscar and the password can be recovered at https://sistemas.ufscar.br/sagui/#/login/redefinir-senha.
  • Send to PPGFt (ppgft@ufscar.br) the RI-UFSCar email containing proof of approval of the dissertation or thesis self-deposit.
  • Send to the PPGFt email the negative clearance certificate (Declaration of No Outstanding Issues) from the UFSCar Library, following the instructions at: https://www.bco.ufscar.br/servicos-informacoes/atestado-negativo.
  • Only after proof of self-deposit of the dissertation/thesis and submission of the negative clearance certificate will the process for granting the Master’s or Doctoral degree and subsequent diploma issuance begin.
